Thank you for joining Pan Pacific London's SENSORY Wellbeing Membership programme.

With full use of facilities including a 18.5m infinity pool, a high-performance Fitness Centre, steam room, sauna, and complimentary Diptyque amenities. All your fitness and holistic requirements will be met.

1. Acceptance as a Member

a) SENSORY Wellbeing at Pan Pacific London has absolute discretion upon whether to accept the

application for membership of an applicant as a Member of SENSORY Wellbeing at Pan Pacific London.

If an application for membership is accepted by SENSORY Wellbeing at Pan Pacific London,

membership plan shall commence upon the agreed start date. Upon acceptance, the Member shall be

issued with a Membership Card personal to him/her and shall be entitled to all benefits and privileges for

which his/her application for membership has been accepted. Entry to SENSORY Wellbeing at Pan

Pacific London is gained on presentation of a valid membership Card at the Wellbeing Reception;

b) Acceptance by SENSORY Wellbeing at Pan Pacific London of an application for membership shall

constitute a binding contractual agreement between the hotel, the manager and the applicant upon the

Terms and Conditions of membership.

2. Limitation of Liability

In order for SENSORY Wellbeing at Pan Pacific London to accept an application for membership of

SENSORY Wellbeing at Pan Pacific London and for the applicant to become a Member of SENSORY

Wellbeing at Pan Pacific London, the Member agrees that:

a) None of SENSORY Wellbeing at Pan Pacific London, the Company or their directors, employees or

agents shall be liable for any loss, damage or theft of personal property belonging to the Member, guest of

the Member or spa client occurring upon the SENSORY Wellbeing at Pan Pacific London’s premises;

b) None of SENSORY Wellbeing at Pan Pacific London, the Company or their directors, employees or

agents shall be responsible for any death or injury, occurring upon SENSORY Wellbeing at Pan Pacific

London premises or as a result of the use of facilities, food, beverage, supplements and/or equipment

provided by SENSORY Wellbeing at Pan Pacific London, except to the extent that such death or personal

injury arises from any negligent act or negligent omission of the SENSORY Wellbeing at Pan Pacific

London, the Company or any agent or employee of SENSORY Wellbeing at Pan Pacific London or the

Company.

3. Physical condition of Member

The Member warrants and represents that he/she is in good physical condition and that he/she is capable

of engaging in food and supplementation programs and active or passive exercise and that such programs

and exercise would not be detrimental to his/her health, safety, comfort or physical condition. If his/her

physical condition changes this must be relayed to the SENSORY Wellbeing at Pan Pacific London’s

management.

4. Assignment

Membership of SENSORY Wellbeing at Pan Pacific London is personal to the Member and cannot be

assigned, transferred or otherwise disposed of. The Member shall not loan his/her membership card or

permit it to be used by anyone but the Member.

5. Membership

a) Every candidate for Membership shall be at least 18 years of age;

b) Individual Membership is available subject to acceptance by SENSORY Wellbeing at Pan Pacific

London and subject to the Member abiding by the terms and conditions of Membership and the

SENSORY Wellbeing at Pan Pacific London rules and policies.

6. Membership Subscriptions

a) At the time of joining, Members must either complete and provide credit or debit card details.

Irrespective of actual usage of the facilities or any change in the Members’ personal circumstances,

ongoing membership subscriptions shall, when due, be payable by each Member and shall be debited

from the nominated payment method. In the event of a membership expiring, additional joining fees and

the current subscription fees will become payable if the previous Member wishes to rejoin;

b) All membership contracts including those paid on a monthly basis cannot be cancelled by Members in

the first year of membership irrespective of usage or change in circumstances unless otherwise agreed

with SENSORY Wellbeing at Pan Pacific London Management. Membership will automatically be

renewed and the appropriate subscription payment collected via SENSORY Wellbeing at Pan Pacific

London’s Debit & Credit agreement or by the agreed payment method at each renewal date. Members

may cancel their subscriptions and membership at any time after the first month by notifying SENSORY

Wellbeing at Pan Pacific London in writing giving a minimum of one calendar months' notice period;

c) Membership subscriptions may be increased by SENSORY Wellbeing at Pan Pacific London at any

time. SENSORY Wellbeing at Pan Pacific London shall give the Member no less than thirty days’ notice

prior to any such increase;

d) If any part of the first twelve monthly membership subscription remains unpaid thirty days after the

due date for payment, all monies owing to SENSORY Wellbeing at Pan Pacific London in accordance

with the contractual agreement will become due immediately.

7. Wellbeing at Pan Pacific London Account

a) All Members will be given the option to open a charge account with SENSORY Wellbeing at Pan

Pacific London (excluding one-month memberships). This enables Members to purchase goods, Food &

Beverage and services throughout SENSORY Wellbeing at Pan Pacific London without having to carry

cash or credit cards. A maximum credit limit of £500 will be provided and, if this limit is reached,

SENSORY Wellbeing at Pan Pacific London will clear this balance from the Member’s nominated

payment method at any time throughout the month and then the credit limit will be reset to £500. The

Company reserves the right to lower or remove this credit offer at any time. Members are required to sign

a purchase receipt upon receiving the goods or service;

b) The full balance outstanding on the SENSORY Wellbeing at Pan Pacific London account shall be

collected at the beginning of every month via the nominated payment method;

c) SENSORY Wellbeing at Pan Pacific London account statements can be requested from the SENSORY

Wellbeing at Pan Pacific London Reception team. It is the Member’s responsibility to check these

statements and to notify SENSORY Wellbeing at Pan Pacific London of any changes to the nominated

payment method.

8. Freezing of Membership

Where a member is unable to use any of SENSORY Wellbeing at Pan Pacific London’s facilities,

including the Drawing Room, Gym, Treatment Rooms, Heat Experiences, Swimming Pool and Mindful

Studio due to pregnancy or other medical condition, the Member can apply for their membership to be

frozen by putting forward a written request directed to the Wellbeing Director or Manager. Upon

acknowledgement and formal acceptance of request, Memberships can be frozen for a maximum of 6

calendar months. Application for membership freeze must be supported by medical evidence and a

doctor’s certificate that must specify the required length of time for the Member to be fit to train and for

how long they wish the membership to be frozen for. Once the membership has been frozen for the

maximum amount of time then SENSORY Wellbeing at Pan Pacific London will resume the membership

subscription and unfreeze the membership.

Frozen Members are only permitted to book treatments (i.e. body treatments, facials, etc). Prior to

resuming their membership and training, Members will be required to provide a doctor’s letter stating that

they are able to resume exercising.

9. Termination and cancellation of Membership

SENSORY Wellbeing at Pan Pacific London may terminate the membership of any Member without

notice and with immediate effect and no refund without having to give any reason;

a) Cancellation: i. The Member is not entitled to cancel membership during the initial period of

membership (12 months). ii. After the initial period, a member may cancel membership by giving one

calendar months' notice in writing to SENSORY Wellbeing at Pan Pacific London. The management

reserves the right to collect any sums outstanding by charging the nominated debit or credit card. iii. Upon

cancellation of membership, any monies owed to SENSORY Wellbeing at Pan Pacific London relating to

subscriptions or Wellbeing at Pan Pacific London accounts will automatically be charged to the Member

via their nominated debit or credit card;

c) Members may cancel their membership within seven days of joining SENSORY Wellbeing at Pan

Pacific London by resigning in writing and surrendering their membership card. They will then be entitled

to receive a full refund at the time of cancellation although for each visit made to SENSORY Wellbeing at

Pan Pacific London during this period a deduction of the daily guest rate will be made.

11. Guests

a) Upon joining, a Member will be allocated four (4) guests passes to use in the Member’s current term of

membership. Once a Member has used its complimentary guest passes, the Member or its Guests can pay

the current guest day fee to access SENSORY Wellbeing at Pan Pacific London and its facilities including

the Drawing Room. Unused guest passes are not accrued into the next term of membership;

b) To keep SENSORY Wellbeing at Pan Pacific London exclusive, Members are entitled to invite one

Guest per day, provided each Guest completes a Guest Information Form on their initial visit to the

SENSORY Wellbeing at Pan Pacific London and fill out a waiver form. The same Guest may visit

SENSORY Wellbeing at Pan Pacific London up to a maximum of five times per year. If a member would

like to bring additional guests, they should contact the wellbeing reception team who will make an

informed decision on the day.

c) Guests must always enter SENSORY Wellbeing at Pan Pacific London accompanied by the Member,

or alternatively, the Member must register its Guests´ details with the Front Desk prior to their guests’arrival. Guests will remain the Member’s responsibility at all times whilst on the Premises;

d) A maximum of 2 guests are able to join the Member in the Drawing Room;

e) A maximum of 4 guests are able to join the member in any other Pan Pacific London Food and Beverage outlets;

f) A guest may only visit the SENSORY Wellbeing at Pan Pacific London a maximum of five times

before being asked to join as a member.

12. Wellbeing Treatments & Personal Training appointments

Members must provide 24 hours’ notice when cancelling or re-arranging appointments for spa treatments

or personal training. If a member fails to attend an appointment without providing the stated notice,

SENSORY Wellbeing at Pan Pacific London reserves the right to charge the full cost of that service.

13. Bespoke services

If a bespoke programme or service is provided, the SENSORY Wellbeing at Pan Pacific London reserves

the right to require payment in full prior to commencement. These are non-refundable and cannot be

charged to SENSORY Wellbeing at Pan Pacific London accounts.

14. Opening hours

Access to SENSORY Wellbeing at Pan Pacific London and its facilities is available to Members Monday

to Sunday between 6:30 am and 9:00 pm;

a) The relaxation facilities including the saunas, steam rooms and the Infinity Pools will close 30 minutes

before SENSORY Wellbeing at Pan Pacific London closes;

b) SENSORY Wellbeing at Pan Pacific London reserves the right to vary these opening times. In addition,

Wellbeing at Pan Pacific London has the right at any time to close any or all of the facilities for the

purpose of cleaning, building, decorating, repairs or special functions. During bank and public holidays

special hours apply and these can be obtained upon request or from the hotel’s website.

15. Children Swimming Hours

Monday – Friday: 9:00 am – 11:00 am / 3:00 pm – 5:00 pm

Saturday and Sunday: 7:00 am – 09:00 am / 4:00 pm – 6:00 pm

16. Pool and Wet-side Facilities

Full instructions for the appropriate use of the pool, sauna and steam room are displayed in view of the

facilities, but please remember for health and safety reasons:

a) Members and their guests must shower before entering, and in between use of the wet-side facilities;

b) Members are not to use the Sauna and Steam Room if pregnant;

c) Running, jumping and diving is not permitted in the Swimming Pool.

17. Gymnasium and Mindful Studio

a) It is the responsibility of Members to make sure they are in an appropriate state of health to undertake

exercise. Members must report any medical condition or injury to staff;

b) Members must not undertake physical/strenuous exercise in the gymnasium or Mindful Studio unless

they have completed a PARQ (Physical Activity Readiness Questionnaire) or undergone SENSORY

Wellbeing at Pan Pacific London’s lifestyle consultation. If requiring medical clarification, written

clearance from your doctor will be needed;

c) If the Member’s medical circumstances and health status vary, Members must inform SENSORY

Wellbeing at Pan Pacific London’s Management Team prior to using the Gymnasium or Mindful Studio;

d) Qualified associates are present to design exercise programmes and demonstrate correct use of the

equipment. Members are advised to follow the programme designed and tailored-made for them by the

team;

e) The owner nor any of the associates shall be liable for the consequences of Members who do not follow

the programme designed for them;

f) All users of the Gymnasium and Mindful Studio must wear appropriate footwear and clothing for their

own safety and comfort;

g) Members are responsible for monitoring their own health and physical condition. If suffering from

unusual symptoms, you must immediately stop your activity and inform one of the associates on the

premises.

18. General

a) Fraudulent or wrongful information given in order to obtain a discounted membership will result in the

cancellation of all membership rights and any action deemed appropriate by SENSORY Wellbeing at Pan

Pacific London;

b) In the event of any default of the Member, SENSORY Wellbeing at Pan Pacific London may disclose

personal particulars contained in the membership agreement to a credit reference agency or any other

party necessary in obtaining settlement of arrears;

c) If through circumstances beyond the control of SENSORY Wellbeing at Pan Pacific London,

SENSORY Wellbeing at Pan Pacific London is unable to provide the full range of services as advertised,

the Member shall remain liable for all fees relating to the subscription and other services provided;

d) Membership cards are issued upon payment of the appropriate joining fee and subscription. Lost or

stolen cards will be replaced by SENSORY Wellbeing at Pan Pacific London at extra charge;

e) SENSORY Wellbeing at Pan Pacific London retains the right to vary, add or eliminate any of the

particular services and facilities provided, including the class timetable and class instructors;

f) Only Personal Trainers from SENSORY Wellbeing at Pan Pacific London may be employed in

SENSORY Wellbeing at Pan Pacific London;

g) Members are not to engage the services of any employee or independent contractor for use outside the

SENSORY Wellbeing at Pan Pacific London without the prior approval of SENSORY Wellbeing at Pan

Pacific London’s Director of Wellbeing;

h) The Company cannot accept responsibility for any loss, damage or theft of personal property belonging

to a Member or any Guest of a Member occurring upon SENSORY Wellbeing at Pan Pacific London’s

premises;

i) All lost property will be recorded in the lost property log book at the Front of House and kept in a

secure place. Personal items including clothes, shoes, gym equipment and toiletries will be stored for a

minimum of 1 month.

19. Offers and Discounts

SENSORY Wellbeing at Pan Pacific London Members can enjoy benefits and complimentary experiences

only in the course of their 12-month membership. Unredeemed services or unutilised perks will not be

rolled over nor cumulated in the following 12-month period.

a) As a member of SENSORY Wellbeing at Pan Pacific London, Members receive 15% off all our

treatments, products and physical services. However, this discount cannot be used on special promotions,

public holidays, packages, entrance fees or memberships (subject to terms and conditions);

b) As a member of SENSORY Wellbeing at Pan Pacific London, Members receive a 10% discount on all

Food & Beverage outlets at Pan Pacific London;

c) As a member of SENSORY Wellbeing at Pan Pacific London, Members will be granted a Liquor

Locker at our cocktail bar Silverleaf. Choosing from a selection of great labels hand picked by the

Silverleaf team, the first bottle will be given gratuitously and stored in the Member’s allocated Liquor

Locker;

d) Access is not possible when there are special events or other special occasions. This will be

communicated in time by SENSORY Wellbeing at Pan Pacific London’s Management;

e) As a member of SENSORY Wellbeing at Pan Pacific London, complimentary offers and services may

only be used by the Member to whom are granted and shall not be transferable to third parties;

f) All complimentary offers and services must be booked in advance (available Monday to Friday, subject

to availability);

g) All complimentary offers and service cannot be exchanged for cash.

20. Security and Safety

a) Instructions for all facilities are posted in plain view and must be complied with at all times. The owner

shall not be liable for the consequences of a user failing to follow such instructions;

b) There are planned procedures for all emergencies, please follow the instructions of the Wellbeing team;

c) Members should not use SENSORY Wellbeing at Pan Pacific London facility whilst under the

influence of alcohol, and should check with their doctor prior to using the facilities should they be taking

any medication that could cause contraindications;

d) Members and their guests are advised in the interest of security not to leave money or valuables in

SENSORY Wellbeing at Pan Pacific London. The owner does not accept liability for loss or damage to

personal property of those using the SENSORY Wellbeing at Pan Pacific London facilities;

e) Property left at SENSORY Wellbeing at Pan Pacific London will be collected each evening and kept

for a maximum of one month. Thereafter, the owner of SENSORY Wellbeing at Pan Pacific London will

be at liberty to dispose of property not reclaimed in such a manner as it thinks fit. The company will not

be responsible for items mislaid in SENSORY Wellbeing at Pan Pacific London;

f) By their membership, members accept and agree to be bound by the terms and conditions of SENSORY

Wellbeing at Pan Pacific London;

g) Members and their guests use the facilities at their own risk. It is the responsibility of those using the

facilities to ensure that they are fit and healthy to do so;

h) The owner and its employees will not be liable in any way for the loss or damage to the property of

members or guests, or for personal injury to, or death of any member or guest, except to the extent that

such personal injury or death arises from the wilful act, neglect or default of the owner or any of its

employees or agents.

21. Miscellaneous

a) Residents of the hotel have full use of the Wellbeing floor and as such their children can use the

Wellbeing floor in conjunction with specific child access times;

b) If using other hotel facilities, members are asked to dress appropriately to the hotel environment;

c) Only food and drink supplied by SENSORY Wellbeing at Pan Pacific London may be consumed on the

premises;

d) Please respect the relaxation time of other members - mobiles to be switched off in designated areas of

the wellbeing floor, if required for an emergency please leave your mobile on silent.
